How Vision BI collects, uses, shares and protects your personal information, in line with South Africa's Protection of Personal Information Act (POPIA).

This policy explains how Vision BI (Pty) Ltd ("Vision BI", "we", "us") processes personal information when you use this website (visionbi.co.za) or contact us. We process personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA). By using this website or sending us your details, you acknowledge this policy.

Who we are (Responsible Party)

Vision BI (Pty) Ltd is a South African technology business providing website development, e-commerce, digital marketing, custom software and automation services.

Our Information Officer

Personal information we collect

Depending on how you interact with us, we may collect:

  • Enquiry and contact details — your name, phone/WhatsApp number, email address, company name, and the contents of messages or project information you send us.
  • Website usage and technical data — IP address (typically truncated by analytics), device and browser type, pages viewed, the page you arrived from (referrer), and approximate location.
  • Cookies and analytics data — set only as described in our Cookie Policy and subject to your consent for non-essential cookies.
  • Marketing attribution data — campaign parameters such as utm tags, gclid (Google) and fbclid (Meta) when you arrive via an ad or link.

We do not knowingly collect personal information from children, and we do not intentionally collect special-category personal information through this website.

How we collect it

We collect personal information directly from you when you complete a form, click a WhatsApp or email link, or send us a message; and automatically through cookies, analytics and standard server logs when you browse the site (subject to consent for non-essential cookies).

Under POPIA we must have a lawful justification for processing. We rely on the following:

Cookies and tracking

We use cookies and similar technologies. Strictly necessary items are always active; Google Analytics, Google Tag Manager and any analytics or marketing cookies load only after you consent via our cookie banner. Who we share information with

We do not sell your personal information. We share it only where needed, with operators (service providers) acting on our instructions, including:

  • Google — Google Analytics and Google Tag Manager, used to measure website traffic (only after you consent).
  • Meta / WhatsApp — when you choose to contact us via a WhatsApp link, your message is sent through WhatsApp.
  • Hosting and email providers — to operate the website and receive your enquiries.
  • Professional and legal advisors, or authorities — where required by law.

Enquiries are stored and managed in our own internal systems, accessible only to authorised members of our team.

Cross-border transfers

Some of these providers (for example Google and Meta) process information on servers outside South Africa. Where personal information is transferred across borders, we do so in line with section 72 of POPIA — relying on the provider's commitment to an adequate level of protection, the necessity of the transfer to provide the service or perform our contract with you, or your consent.

How long we keep it

We keep personal information only as long as necessary for the purpose it was collected, or as required by law. Enquiry details are generally kept while we are in contact and for a reasonable period afterwards; client and financial records are kept for the periods required by tax and company law (typically five years); analytics data is retained according to the settings of the analytics tools. We delete or de-identify information when it is no longer needed.

How we protect it

We take reasonable, appropriate technical and organisational measures to safeguard personal information against loss, unauthorised access and misuse, including HTTPS encryption, limited access, and using reputable service providers. No online system is completely risk-free, but we work to keep risks low and will act on any breach as POPIA requires.

Direct marketing

If we send you electronic marketing, we do so only where the law allows — generally with your consent or to existing customers about similar services — and every message includes a way to opt out. You can withdraw consent at any time.

Your rights

Subject to POPIA, you have the right to:

  • Ask what personal information we hold about you and request access to it;
  • Ask us to correct or update inaccurate or incomplete information;
  • Ask us to delete or destroy information we no longer have a lawful reason to keep;
  • Object to processing based on legitimate interest or for direct marketing;
  • Withdraw consent where we rely on it (this will not affect prior lawful processing);
  • Lodge a complaint with the Information Regulator.
